Kingsville Special Events Application (SERT)

Please review the entire application before you begin. Applications will be reviewed by the Special Events Review Team (SERT). A recommendation from SERT to Town Council may be required for final decision. Applications must be received at least 60 days prior to the event. Annual events with no significant changes may be submitted 30 days prior to the event. If you fail to submit your application on time, you may not receive approval

You will also need to provide:

  1. Insurance for the event naming "The Corporation of the Town of Kingsville" as an additional insured: $2M, or $5M for any event that has alcohol 

  2. Event Layout Plan (physical drawing) including; parking, food service area, tents, stages, designated smoking area, etc.  

  3. Your event may require additional documents, certificates of approval, or permits. Please pay close attention to the NOTES on this form to determine any additional documents required.

NOTE: Some road closures may require police presence (paid duty officers). Event organizers will need to enter into a Paid Duty contract with the OPP and pay applicable fees.

NOTE: A tent permit is required when: more than 60m2 (646ft2) aggregate area; attached to building; OR closer than 3m (9'-10") from other structures. Provide site plan, manufacturers specs and design drawings at time of application. Under the Fees and Charges By-Law, this permit is categorized as a Temporary Structure under Construction Permits. Apply for a permit online.


 

Will your event require fencing, staging or digging?
 

NOTE: You must get locates for gas, electrical and other services through Ontario 1 Call (1-800-400-2255). Event organizers wishing to install temporary non-ground-penetrating fencing must indicate the positioning of all fence lines on the Event Layout Plan.


 

Will your event have live music or amplified sound?
 

NOTE: A noise permit may be obtained from Clerk's Services, if required.


 

Will your event serve or sell alcohol?
 

NOTE: Applicant is responsible for AGCO application and meeting all required criteria. Approval from AGCO must be shown to Town of Kingsville 7 days prior to event. Review: AGCO - Alcohol changes or additions existing licensed areas.


 

Will your event have Open Air Burning?
 

NOTE: Please consult with Kingsville Fire and Rescue at (519) 733-2314.


 

Will your event have fireworks?
 

NOTE: You will need to fill out our Fireworks Permit Application. See the current Fee.


 

Will your event use an additional hydro source such as a generator?
 

NOTE: You will need to provide a Fire Safety Plan and book an Electrical inspection by the Electrical Safety Authority (ESA) 1-800-667-4278.


Will your event have food trucks/trailers/carts that use fuel-fired appliances?
 

NOTE: Special events applications must be submitted to the Windsor-Essex County Health Unit at least 30 days prior. You must submit your Certificate of Approval to specialevents@kingsville.ca 7 days prior to event. 

NOTE: A list of food vendors (using food trucks, trailers, or carts that utilize fuel-fired appliances) with contact information, including email addresses, must be submitted to Kingsville Fire at least 30 days prior.  Please email this information to jdean@kingsville.ca.


Will your event have carnival-type rides?
 

NOTE: You will need a Certificate of Insurance from the Vendor. You will also need a Mechanical Fitness Permit issued by the Technical Standards and Safety Authority.


Will your event have bouncy castles or inflatables?
 

NOTE: Inflatables must be TSSA approved. You will need a Certificate of Insurance from the Vendor.


 

Will there be a tournament in conjunction with the event?
 
Will you have a lottery, raffle, 50/50 draw, or Nevada tickets?
 

NOTE: Lottery Licenses are required for games of chance. Contact Clerk's Services or apply for your permit online.


Hold Harmless and Indemnification Agreement

I, the undersigned, agree that I shall release, waive and forever discharge the Corporation of the Town of Kingsville from all claims, demands, costs, expenses, in respect of death, injury, loss or damage; and that I shall at all times indemnify and save harmless the Town from and against any and all manner of claims, demands, losses, costs, charges, actions and other proceedings whatsoever made or brought against, suffered by, or imposed on the Town as a result of the Event Organizer’s event.
