Sports and Recreation- Use of Gymnasiums in Erie Migration District School

The Town of Kingsville has secured use of gymnasiums in Erie Migration District School for community use.  This is a reciprocal arrangement and allows the School to use Town facilities such as the arena and Town sports fields.

The Town of Kingsville is seeking proposals from qualified sports and recreation service providers to host programming and/or instruction at Erie Migration District School.  The Town is looking to provide organizational sport programming to the community such as basketball, volleyball, badminton etc.

Applicants must demonstrate that they are qualified, professional and experienced sport and recreation program administrators.  They should be able to develop engaging, inclusive and age-appropriate programs.  Relevant experience includes promoting positive sportsmanship and ethical conduct among all participants, recruiting and managing members, overseeing team rosters and player availability, creating fair competition structures, understanding facility and equipment setup and tear down, and implementing injury prevention and safety policies.

Wednesday- Gym A, B, C 6-9pm

Saturday, Sunday- Gym A, B, C 8:30am-3:30pm

The availability of gymnasium space will coincide with the school year, which begins the first week of September and ends the last week of June. The gym will not be available on statutory or civic holidays. On occasion, the school may require the gymnasiums for student functions. The school board will provide 10 business days notice of any date on which the facilities are not available to the Town. This will be communicated to service providers as soon as possible. Available times include Mondays to Thursdays from 6:00 pm to 9:00 pm and Saturdays to Sundays from 8:30 am to 3:30 pm.  The Town of Kingsville reserves the right to allocate time and space to any service group as seen fit.

Terms

All service providers will be required to:

  • Enter into a rental agreement with the Town for use of the gymnasium space
  • Provide proof of valid insurance with coverage of at least $2 million dollars
  • Ensure anyone working with children has completed a Vulnerable Sector Check within the past 3 years
  • Abide by Erie Migration District School's Code of Conduct.
  • Supply rackets, balls, and other equipment needed for play (excluding basketball nets)
  • Designate a responsible individual as the Town’s primary contact, who will supervise participants in the gymnasium at all times.
  • Pay an administrative fee of $250.00 per semester or $500.00 for the year.

General Conditions 

  • Ensure gymnasiums are left in their original condition.
  • Only water in a reusable, sealable container is permitted in the gymnasium. Food and other beverages are not allowed.
  • Designated washroom facilities are available for organizers and program participants
  • Please vacate the school by the designated end time.
  • Participants must use only approved entrances and exits for the schools and gymnasiums.
  • Participants are not permitted to enter areas of the school outside the designated gymnasium spaces at any time.
  • Storage for equipment is not provided.
  • Report any damage to school property or equipment to the Town immediately.

Repeated violations of the Town’s rental agreement, Erie Migration District School's Code of Conduct, or the above conditions may result in termination of the rental agreement without prejudice or refund of administrative fees.

The Town may require an interview with interested parties as part of the selection process.

Evaluation Criteria

The Town will evaluate expressions of interest by looking at your organization’s experience and qualifications, the design and inclusivity of your program, your impact and engagement with the community, and your ability to keep participants safe and follow all relevant policies and regulations.
